Who controls your information

Flagship Competitions Limited is the controller for the personal information described in this Notice. Contact info@flagshipcompetitions.co.uk for privacy questions or rights requests.

Information we use

  • account name, email address, telephone number, login credentials held securely through WordPress and communication preferences;
  • date of birth, territory, residential, billing, delivery and eligibility information;
  • basket, order, payment-status, refund and chargeback information;
  • Competition, Ticket, postal-entry, customer-limit, Terms-acceptance and draw records;
  • support messages, complaints, accessibility requests and responsible-participation requests;
  • winner identity, eligibility, delivery and optional publicity information;
  • IP address, browser, device, security, server, error and audit logs;
  • cookie choices, basket storage, source-attribution, campaign/referrer and consented website-interaction information; and
  • marketing preferences and minimal suppression records.

Where information comes from

Most information comes from you when you create an account, enter, contact us, submit a postcard, make a complaint or claim a prize. Technical information comes from the website, WordPress, WooCommerce and security logs. Authorised payment, identity, fraud-prevention, courier or prize suppliers may provide transaction, status or verification information where they are used.

Why we use information and our lawful bases

  • Contract: to operate accounts, validate Entries, administer draws, contact winners and deliver prizes.
  • Legal obligation: to keep required company, tax, accounting, consumer, complaint and law-enforcement records.
  • Legitimate interests: to secure the site, prevent fraud, enforce fair rules, investigate faults and complaints, keep evidence and improve operations, balanced against your rights.
  • Consent: for optional marketing, non-essential cookies or tracking where required, and optional winner publicity. Consent may be withdrawn.
  • Legal claims and substantial public interest where applicable: for proportionate evidence and dispute handling, subject to safeguards.

Payments

Where a customer makes an online payment, payment and transaction information is processed by an authorised payment service provider. Flagship Competitions Limited does not store full payment-card details. Flagship receives only the information needed to confirm payment status, administer the Entry, handle a refund or dispute and meet its legal obligations.

Who may receive information

Recipient categories may include website and hosting providers; WooCommerce and necessary technical service providers; authorised payment service providers; email and communications providers; Meta Platforms for optional consented advertising measurement and Custom Audiences; identity and fraud-prevention providers where used; prize suppliers; courier and delivery providers; professional advisers; and regulators, courts or law-enforcement bodies where required. Only the information reasonably needed for the purpose is shared.

International transfers

Where a supplier, including Meta Platforms when optional advertising is accepted, processes personal information outside the United Kingdom, Flagship relies on an appropriate lawful safeguard, such as an adequacy regulation, approved contractual protections or another mechanism permitted by data-protection law. How long we keep information

Information is kept only for as long as reasonably needed for the purpose, applicable legal duties, fraud prevention, accounting, complaints, prize evidence and legal claims. Relevant criteria include the account relationship, Competition and fulfilment lifecycle, statutory limitation periods, legal holds and whether a record can be anonymised.

Security

Flagship uses access controls, secure account handling, least-privilege administration, backups, logging and integrity records appropriate to the risk. No system is completely secure. Do not send card data, passwords or identity documents by ordinary email unless a secure verification process specifically asks you to do so.

Marketing

Marketing is optional and separate from accepting Competition Terms. You may withdraw consent or object at any time using an unsubscribe control or by contacting Flagship. A minimal suppression record may be kept so marketing does not restart accidentally. Service messages about an account, Entry, draw, complaint or prize are not marketing.

Cookies and website technologies

The website uses cookies and similar storage for login, security, baskets, WooCommerce sessions, source attribution and saved consent preferences as explained in the Cookie Notice. The current design also requests fonts from Google, which may receive the visitor’s IP address and browser request information when the font files are requested.

Meta advertising and measurement

If a visitor actively accepts Advertising in Cookie settings, Flagship uses the browser-based Meta Pixel for advertising measurement, website Custom Audiences and retargeting on Facebook and Instagram. Meta Platforms may receive website interaction events, the page URL, referrer or campaign information, browser and device information, IP address used for the request, the Flagship production Pixel or dataset identifier and the optional _fbp or _fbc cookie identifiers. Approved events are limited to eligible PageView, ViewContent and genuine CompleteRegistration events. Flagship does not use automatic advanced matching, a product catalogue, Meta Shop, Purchase events or Conversions API in this phase, and does not send date of birth, email, telephone number, address, postcode, password, payment details, complaints or winner-verification information to Meta.

The lawful basis for optional Meta advertising technology is consent. A visitor may reject it or withdraw consent at any time through the persistent Cookie settings link without preventing normal website, account or free postal-entry use. Meta may process information internationally under its applicable transfer safeguards. Winners and publicity

Flagship may publish proportionate winner information where reasonably required to show that a prize was awarded. Photographs, video, interviews and testimonials are optional and require separate agreement. Refusing optional publicity does not remove prize entitlement.

Your rights

Depending on the circumstances, you may ask for access, correction, deletion, restriction or portability, object to processing and withdraw consent. Flagship may need to verify identity and explain any lawful limitation. Contact info@flagshipcompetitions.co.uk. You may also complain to the Information Commissioner’s Office.

Children and automated decisions

Competitions are for people aged 18 or over. Flagship does not knowingly accept Entries from children. Flagship does not make a solely automated decision with a legal or similarly significant effect about a customer without an appropriate lawful basis, safeguards and a route for human review.

Changes and contact details

Material changes receive a genuine update date and, where appropriate, a prominent notice. Earlier versions needed for evidence or disputes may be retained.
